Residence Halls – Courtyard Reservation

Guidelines for Courtyard Use

  1. Use of the courtyard is restricted for use by University Housing and/or recognized Student Organizations.
  2. A Solicitation/Event Form must be submitted either online at http://web.utk.edu/~homepage/, or obtained from the Dean of Students Office (413 SSB), signed by the appropriate personnel, & turned in with this request. After approval from the Area Assistant Director you must then submit the Solicitation/Event Form to the Dean of Students Office seven (7) working days prior to the date of the event in order to meet requirements for approval. Online forms will be verified with the Area Assistant Director that the courtyard has been reserved.
  3. Courtyard reservation requests must be made & reservation form filled out completely, and approved at least seven working days prior to the event. Please print and keep a copy of the reservation form on-site during the event. Reservations are granted on a first come, first served basis.
  4. Food sales/distributions must also be approved by Dining Services at the Presidential Court Building, Room 108.
  5. If there is any type of money exchanged/solicited, the organization MUST get a Solicitation/ Event Form from the Dean of Students Office prior to reserving the courtyard and follow the above Guideline #2. If a Solicitation/ Event form is not secured, you will not be allowed to use the courtyard.
  6. The Area Assistant Director(s) has the option of not granting requests for courtyard reservations if they feel that the activities are not appropriate and/or violate policies of the University.
  7. It is the responsibility of the group requesting the courtyard to get their own tables, sound system, extension cords, etc. If any of these items are needed, you can contact the Department of Facilities Services at 974-2347 with a work order request. The residence halls in the courtyards cannot provide you with tables.
  8. No vehicles may be driven into the courtyard.
  9. No bonfires are allowed in the courtyard.
  10. The use of amplified sound and/or the activity itself must not disturb the residents. Activities must be finished prior to 9 p.m. If there are noise complaints, the activity will be canceled immediately.
  11. Groups/organizations are responsible for both set-up and clean-up of the courtyard.
  12. University Housing staff reserves the right to refuse access to/stop activities in the courtyard.
  13. Failure to abide by these policies will result in the loss of courtyard access.
